We are looking for a Events Coordinator to join our Academy of Computing Department, in a contract capacity, working full-time.

About the role

The Events Coordinator plays a key role in planning, supporting and delivering engaging events with our community and external stakeholders, acting as the key contact for our community leaders to support in the promotion of local events.

The Events Coordinator will be responsible for managing events across Computing at School (CAS) which consists of a network of over 250 volunteer Community Leaders driving collaboration locally and over 30,000 members. They will be responsible for all aspects of event planning and delivery such as organising interesting venues, arranging resources and logistics, delegate bookings and feedback.

Key responsibilities

  • Responsible for the planning, administration. promotion and logistics for CAS events including maintaining health & safety / risk assessment records and supporting stakeholders with all aspects of their events as appropriate;
  • Responsible for researching and selecting appropriate venues to meet specification, building a portfolio of interesting and relevant venues to utilise for future events;
  • Support CAS working group and community events as required with promotion, materials and operational support;
  • Liaise with stakeholders to facilitate events (online and face to face) that drive participation on behalf of CAS;
  • Manage event promotion, attendance, logistics and feedback including organising of staff travel and accommodation;
  • Compile and deliver briefs to designers and printers for the design and produce promotional material for events;
  • Drive initiatives to support community leaders to facilitate events and liaise with them to drive engagement and encourage event participation;
  • Manage budgets, ensuring that accurate and up to date reports are available for scrutiny by internal and external stakeholders, keep up to date budget monitoring information;
  • Continually look for ways to make improvements to systems, processes and procedures to achieve improvements in the customer journey, ensuring up to date standard operating procedures are available in your area of responsibility at all times;
  • Communicate effectively with a range of stakeholders including students, teachers, academics, external providers and internal colleagues;
  • Ensure timely communication with Finance to support transactions such as PO requests, invoice requests;
  • Maintain an awareness of economic, social, political, environmental and technological developments to keep activity relevant and targeted;
  • Drive and stimulate engagement of schools, colleges, teachers, school leaders, employers, academia and others within the CAS local communities;
  • Establish highly effective relationships with internal and external stakeholders to generate commitment to our goals;
  • Be sensitive to the views and perspectives of stakeholders about the landscape surrounding computing education in the UK;
  • Represent BCS externally amongst stakeholders and influencers inspiring confidence, positivity and ambition to improve computing education in the UK;
  • Support other events within BCS as required;
  • Flexibility is required of all job holders to adjust responsibilities as required from time to time by their Line Manager/Divisional Director;

Who are we looking for

Education and qualifications
  • Event management qualification or equivalent experience
  • Educated to degree level or equivalent experience is desirable
  • Proven experience of managing successful large events
  • Proven project management experience
  • Proven experience of managing budgets and handling all aspects of the financial
    arrangements of events.
