We are looking for a Paralegal to join our Legal Department, in a permanent capacity.

About the role

The post-holder is responsible for supporting the Head of Legal Services and the commercial counsel with a range of administrative legal tasks, which generally will include liaising with a variety of stakeholders, including managers, employees and external providers on legal processes and matters.

Key responsibilities

  • To provide information on legal engagement process to be followed by employees (in line with BCS Group Policy) and, where specific permission granted, communicate with BCS’s external solicitors or insurers.
  • Day to day legal administration which will include:
    • Updating the legal workflow database (JIRA) and updating stakeholders on matter status;
    • Issuing legal contracts via Legalesign and saving them on the central system as appropriate;
    • Checking customers’ details on Companies House;
    • Updating a range of central logs;
    • Data Protection or Companies House filing/registrations;
    • Assisting in the handling of Subject Access Requests;
    • Administrative management of trade marks portfolio;
    • Managing billing enquiries;
    • Under supervision; drafting simple legal documents such as letters, variation agreements or any other relevant document;
    • Reviewing and checking BCS contracts;
    • Managing the legal inbox (including responding to emails and queries as appropriate);
  • Work directly with external parties which will include Solicitors and Insurance Brokers to follow up and help resolve enquiries;
  • To research specific projects delegated by Head of Legal Services or Commercial Legal Counsel using Companies House, Charity Commission, Legal library/resource and or other appropriate bodies which will require confidence and ability to work on own initiative;
  • Due to the nature of this business area, there will be a high degree of confidential and sensitive data to be appropriately managed and disseminated; any mistakes or errors could have a material and/or negative impact on individuals, BCS and external stakeholders;
  • Administrative support to Company Secretary (who has board and legal responsibility for all BCS subsidiary companies). Duties will include, but are not limited to, contacting regulatory and legal authorities, handling statutory requirements and responding to enquiries;
  • As required, provide support to other (Group FD) business units, with ad hoc administrative tasks;
  • Flexibility is required of all job holders to adjust responsibilities as required from time to time by their Line Manager/Divisional  Director;
  • Continually looking at ways to make improvements to systems, processes and procedures;

Who we are looking for

Education and qualifications
  • Ideally educated to legal degree level or equivalent;
  • A legal qualification (Chartered Institute of Legal Executives, National Association of Licensed Paralegals, or similar)
  • Legal Practice Course desirable or other
Experience
  • Proven experience of working in an administrative role within a legal/compliance environment (may include internships, work experience or work shadowing)
  • Working in a sensitive/confidential environment

Special conditions
  • Attending off-site meetings at BCS London or other locations may occasionally be required;
  • Out-of-hours working will be very limited but may be required to complete time sensitive tasks
